Reports to: Associate Director

Location: Cluj-Napoca, Romania

Duration: 12 months, fixed-term

Role purpose:

Reporting to the AD of Delivery, the PMO lead is accountable for leading reporting and analysis across PokerStars’ portfolio to support project governance, reporting and provide valuable portfolio insights to ensure stakeholders can make decisions using credible real-time information.

The role will manage a small team of Portfolio managers and PMO analysts and will set strategic direction for continuously improving governance and forums.

This includes QBR/OKRs, finance and capex management as well as centralised Portfolio level delivery plans to provide a holistic view of all delivery.

Responsible for:

  • Perform the validation and reconciliation exercise of monthly actuals and forecasts to support the financial reporting cycle

  • Monitor, track and analyse project financial reporting from each Tribe to ensure data accuracy and focus on data quality at source and roll this information up to provide a total delivery cost

  • Timely escalation of updates to key initiatives ensuring decision making forums can run (QBR/OKR)

  • Ownership of centralised reporting suites of agendas, actions and updates

  • Responsible for identifying where projects are being mis-categorised and ensuring all Capex projects are correctly submitted

  • Investigating complex problems and communicating detailed information in a clear and impactful way

  • Supporting the continually improving reporting processes and artefacts that align in-scope projects to business strategies and outcomes.

  • Analysis of portfolio reporting to identify trends and providing key insights to help manage the overall health of the portfolio

  • Supporting continuous improvement on governance, delivery frameworks and methodologies to ensure project delivery will be comprehensive, consistent, and agile

  • Working with Business and Technology teams to ensure process changes are effectively adopted.

  • Creating greater visibility of capacity and in flight deliveries to create project and product roadmaps

  • Working alongside central PMO and product PMO teams on workflow and ensuring aligned governance

  • Maintain and evolve the overarching delivery framework and evolve to drive best practice and standardisation ensuring that all projects across the portfolio adhere to the best practices and standard approaches for project management and governance reviews during each phase of project delivery’s lifecycle.

  • Manage and improve upon reporting frameworks that tracks performance (delivery KPIs) against delivery priorities and key projects

  • Instigate Project Delivery best practice, governance and standards.

  • Standardising project methodology, documentation and processes.

  • Reporting to senior stakeholders and preparation of management packs, forecasting for
    resource demand against planned projects.

  • Work closely with Project Managers and Delivery Managers across the business to assess the demand, supply and capacity of resources, ensuring resource is reallocated as needed.

  • Proactively manages change control and communicates impact in project scope, identifies risks/issues, and devises contingency plans.

  • Identifies and manages project dependencies and critical paths while maintaining accurate project plans with real-time milestones, tasks, and project health data for the portfolio in the PPM tools.

  • Regular project analysis, data and portfolio reporting, pulling metric-based reports from any project management software or tools in use.

  • Establishing and managing reviews at appropriate points during and after projects and/or programmes in portfolios, which will inform their governance by providing evaluations of progress, methodologies, and continuing relevance.

Key requirements:

  • 3+ years of experience with MS Office with emphasis on Excel (macros, VLOOKUP, etc)

  • Excellent analytical, reporting and problem resolution skills

  • 5+ years of working in a Project Management Office, managing Projects or Programs

  • Good stakeholder management skills.

  • Demonstrable experience of working with portfolio reporting and providing portfolio insights

  • Good overall knowledge of Project Management and methodologies

  • Strong written and verbal communication skills (English).

  • Knowledge and experience with process & document management tools, such as Jira, Confluence and MS Sharepoint.

  • Line management experience of PMO teams

  • Comfortable presenting at Exec level – MD and above

  • Knowledge and experience with reporting automation tools.
